Professional Education Project Co-ordinator

Reporting to:

Manager of Professional Education and Training

Purpose of the Position:

The key function of this position is to organise, develop and co-ordinate the College CPD members service to its graduates of Financial Services and Central Bank Approved programmes. This will involve maintaining key relationships with clients to enable them to fulfil their organisations fitness and probity requirements. The role will also deal with ongoing operations and administration of special projects, including financial reporting, and delivering on service level agreements to ensure the highest standards of support and administration are met.

Key Responsibilities:

CPD Element of Role
  • Organisation of the College’s CPD scheme for financial services programmes with a CPD requirement
  • Day to day management of the CPD system
  • Co-ordination of the maintenance of the CPD offerings and online content in line with external drivers such as Central Bank requirements, market, client company and student requirements
  • Managing the deployment, testing, ongoing monitoring effectiveness and maintaining CPD online system
  • Liaise with Central bank on CPD queries and matters relating to fitness and probity
  • Making decisions in consultation with relevant stakeholders based on Central Bank policies and responses to queries
  • Supporting the membership of the College’s CPD scheme, listening to their needs and channelling the feedback and organising, and in relevant cases, delivering on the actions to respond to same
  • Responsible for maintaining relationships with employers and supply them with ongoing reports to ensure they are aware of their employees CPD status (client companies such as Laya, KBC and AIB will have specific requirements and all are seeking improvements on the reports provided by the Professional Body providers such as IoB and LIA)
  • Responsible for applying to other professional bodies for reciprocity on our CPD events
  • Monitor the ongoing effectiveness of the IT system and making changes based on evaluation of the relevant parts of the system to ensure a continually improving system and service to CPD members
  • Ensure that the IT system is prepared for annual payments and yearly subscriptions and any other changes that need to happen to ensure ongoing service to CPD members
  • Scheduling of CPD events in such a way as to appeal to the regulatory, organisational and personal development needs of the CPD members
  • Ensure that alerts and all information are up to date and accurate
  • Collation of the annual CPD returns
  • Collation and preparation of all materials for annual CPD audit
  • Research and provide material for website and maintain website
  • Provide ongoing services and information to the membership bodies
  • Ensure that the IT system is prepared for annual payments and yearly subscriptions and any other changes that need to happen to ensure ongoing service to CPD members
  • Liaising with Course Director / Faculty regarding courses to be delivered to ensure that changes in the delivery of the PFP and APP programmes are reflected in the CPD offerings
  • Dealing with any queries relating to the function / training offered etc.
IIPM Element of Role
  • Administration of courses for the Irish Institute of Pensions Management (IIPM) and other in-company specialised programmes
  • Management and maintenance of the IIPM client database, obtaining members yearly subscriptions and updating CPD records
  • Management of IIPM events and website information
  • Co-ordination of all annual member fundraising initiatives and collection of fees for same
  • Dealing with IIPM’s calls, e-mails and general queries
  • Maintaining a high level of communication with key customers/clients
  • Monthly reconciliation of income accounts, lodgements, reconciliations and end of year audits.
  • Ensures timely and accurate invoicing and monitors receivables
  • Follows up with clients, when necessary, regarding unpaid invoices
  • Ensure that all Council members are informed and updated on all events and issues prior to each monthly council meeting
  • Key point of contact with IIPM council including Treasurer and Auditors re: accounts
  • Organising, scheduling and following up on internal and external meetings
  • Liaising with external organisations on all aspects of external programmes.
  • Assisting in the promotion of courses to target groups such as open days, corporate companies and other events as appropriate
  • Processing course applications where appropriate to expedite screening, interviewing and selection of candidates for admission.
  • Dealing appropriately with student queries
  • Ensuring that all duties within the office are performed in a professional, efficient manner
  • Ordering and monitoring the stationery supply for the office

Other General Duties

  • Providing break cover for reception
  • Any other tasks that may be allocated by the Manager of Professional Education and Training 

Key Attributes:

  • Degree or equivalent qualification would be desirable.
  • At least two years administration experience that demonstrates a planned, systematic approach to organisation of work.
  • Experience of the management of CPD systems.
  • Ability to communicate with stakeholders at all levels in client organisations
  • High proficiency in word processing, spreadsheets, e-mail, PowerPoint, and excel.
  •  Good communication skills – written and verbal.
  • Good Interpersonal skills.
  • Attention to detail, deadline orientated and quality conscious.
  • Flexible approach to work.
  • Excellent writing skills (draft letters, communication to external bodies etc.
  • Ability to work independently and show initiative.

Salary: €30,842 - €39,782 (Secretary Grade 3 Scale) per annum pro rata

Annual Leave: 21 days per annum pro rata

Contract: Specific Purpose Contract to cover secondment (minimum duration of 6 months)

Hours: 35 hours per week
