Purpose of Position:

Responsible for the management of the accounts payable function, processing of invoices and payments to suppliers, reconciliation of supplier statements to ledger, checking accuracy of invoice, purchase order and supplier information. Reconciliation of all creditor balances on a monthly basis, assist in the preparation of month and year end accruals for management accounts. Maintenance and development of the accounts payable systems.

Key Responsibilities:

• Invoice Control: Review details of invoices for accuracy in terms of billing entity, cross checking & matching invoices to purchase orders and ensure sign off for payment

• Invoice Approval: Liaise with the budget holders and site teams for necessary approval of invoices

• Reconciliation: Reconcile supplier monthly statements to ledger records to ensure accuracy and resolve discrepancies

• Payment Processing: Following completion of the approval, posting and reconciliation process, compile suggested month-end payment runs for approval by manager

• Supplier Account Management: Monitor and maintain control of supplier accounts, addressing credit balances and investigating discrepancies, setting up of new supplier accounts & following procedure to verify accuracy of supplier account details

• Liaison: Communicate with suppliers to resolve queries and provide updates on account statuses

• Audit Requests: Respond to supplier requests for audit verifications promptly

• Prepare ad hoc supplier reports, anaylsis for finance team as requested

• Preparation of information for prepayment journal

• CSO/government returns as required.

Key Attributes:

• At least 3 years experience within a similar role (ideally within an education institution) 

• Proficient in the use of Excel. 

• Strong systems experience Infor SUNSystems, excel, Infor Q&A

• Proficient in processing high volumes of transactions

• Experience of producing accurate work and pays attention to detail.

• Good communication and interpersonal skills.


Salary: €38,396- €54,915 Specialist Senior Admin Scale

Contract: Permanent 

Hours: 35 per week 

Annual Leave: 24 days per annum

The successful candidate will be subject to Garda vetting and must not hold any convictions under the Sex Offenders Act 2001.

Shortlisting

HR draft up the shortlisting documents and provide the initial screening to determine if a person meets the essential criteria of the competition. A shortlisting panel is generally made up of two senior grade staff members from the relevant department for which the role is being recruited.

Sharing of your data

Where you have been successfully shortlisted for a post, each interview panel member will be furnished with a copy of the relevant information of those who will be attending interview in order that they can review applications in advance of the interview process. All such information will be returned to NCI and shredded following the competition process. Some of the interview panel will be external interviewers, who are not employees of NCI but are engaged for the purpose and are strictly subject to the rules and policies of the College.
